Key responsibilities

  • Support end‑to‑end event delivery for conferences, roundtables, networking functions, galas, site visits and virtual/hybrid events.
  • Assist with event planning: develop run sheets/timetables, manage RSVPs, and coordinate speaker logistics.
  • Manage supplier relationships and procurement: source and negotiate with venues, caterers, AV/production teams, decorators, transport providers and security.
  • Coordinate event operations: manage registration/check‑in, signage and room layouts, and ensure health & safety and accessibility compliance.
  • Provide event marketing support: in coordination with Chamber’s communications team, prepare event listings, liaise with communications for promotional materials, and manage guest communications.
  • Assist with budgeting and financial administration: prepare cost estimates, track budgets, process invoices and reconciliations, and monitor actual vs. budget.
  • Support sponsorship and partnership delivery: coordinate sponsor assets, fulfil sponsor entitlements (branded signage, speaking slots, exhibition space), and prepare post‑event reports.
  • Manage attendee experience: handle enquiries, dietary and accessibility requests, seating arrangements, and VIP/guest protocols.
  • Collect and manage post‑event feedback and performance metrics; prepare event debriefs with recommendations for improvements.
  • Maintain databases, event documentation, checklists and supplier contracts.
  • Stand in for Events Manager when required; participate in after‑hours and weekend work for events

Required qualifications & experience

  • Bachelor’s degree in hospitality, events management, communications, marketing, business, or related field (or equivalent work experience).
  • 1-2 years’ experience in events or hospitality roles; experience delivering medium‑to‑large scale events preferred.
  • Proven ability to manage multiple projects and competing deadlines in a fast‑paced environment.
  • Vendor negotiation and budgeting experience a plus.
  • Excellent interpersonal and written communication skills; confident public‑facing and stakeholder management abilities.
  • Proficient with event registration platforms, CRM systems and MS Office (Excel, Word, PowerPoint). Experience with AV production a plus.
  • Strong problem‑solving skills, attention to detail and capacity to remain calm under pressure.
  • Flexible availability to work occasional evenings/weekends and travel to event sites.
  • English (fluent). Cantonese proficiency a plus.

Desirable Skills

  • Experience working with corporate sponsors and membership organisations.
  • Familiarity with marketing and social media promotion of events
